Marketing & communications request process

To improve efficiency and better serve all departments, Kilgore College is implementing a new centralized process for submitting marketing and printing requests. These changes are designed to streamline workflow, reduce turnaround times, and ensure consistency in branding and messaging across the institution.

REQUEST PROCESS FOR PRINT PROJECTS

To support efficient production and maintain consistent Kilgore College branding, all requests for printed marketing materials must follow the centralized review and production process. Departments should plan ahead and follow the steps below when requesting items that require physical printing.

  • Request a quote
    Email RangerPRINT@kilgore.edu to obtain a printing quote.
  • Submit a marketing request
    Complete the Marketing Request Form (link below).
  • Attach your quote
    Upload or include the RangerPRINT quote within the Marketing Request Form submission.

If you need marketing materials designed (such as posters, flyers, brochures, programs, signage, or digital graphics), please clearly describe your project in the Marketing Request Form.

To help ensure timely completion, requests should include:

  • Purpose of the project
  • Target audience
  • Event or distribution date
  • Quantity (if printing)
  • Preferred size or format
  • Any required logos, photos, or text content
  • Department contact information

Please allow a minimum of two weeks for design and review.

If you create materials using your Kilgore College Canva account, all designs must be reviewed and approved by the Marketing & Communications Office before printing or distribution.

Once artwork is approved, Marketing will forward the finalized design and approved quote to RangerPRINT for production.

  • You will receive an email notification when your project enters production. This message will include an estimated completion date.
  • A second notification will be sent when your order is ready for pickup.
  • Most standard orders will be picked up at the Campus Store.
  • Large-format or specialty print jobs may require pickup directly from RangerPRINT.

All business card orders must be submitted through the Marketing Request Form.

Two approved design styles are available.
Please ensure all requested information is included when submitting, such as:

  • Employee name and title
  • Department
  • Phone number(s)
  • Email address
  • Office location
  • Any required certifications or credentials

Incomplete requests may delay processing.

To help ensure smooth processing:

  • Submit requests as early as possible, especially during peak periods.
  • Allow additional time for complex or large-quantity print jobs.
  • Marketing reserves the right to adjust layouts or wording to maintain institutional brand standards.

REQUEST PROCESS FOR NON-PRINT PROJECTS

To ensure timely and effective support for departments across Kilgore College, all requests for marketing and communication services must be submitted through the Marketing Request Form. This centralized process allows the Marketing & Communications Office to prioritize projects, maintain institutional branding standards, and coordinate messaging across campus.

Marketing services include, but are not limited to:

  • Social media graphics and campaign support
  • Website updates or new webpage development
  • Logo and brand identity design
  • Event promotion and marketing strategy
  • Photography and videography requests
  • Press releases and media outreach
  • Digital signage and email marketing graphics
  • Recruitment and enrollment marketing materials
  • Complete the Marketing Request Form
    Provide as much detail as possible about your project needs.
  • Include key project information
    To help ensure timely completion, please be prepared to provide:
    • Purpose and goals of the project
    • Target audience
    • Event date, deadline, or desired launch date
    • Distribution channels (web, social media, email, etc.)
    • Department contact person
    • Any required text, photos, logos, or supporting documents
    • Budget considerations, if applicable
  • Allow appropriate lead time
    Standard marketing projects typically require a minimum of two weeks’ notice.
    Larger or more complex projects (such as campaigns, video production, or new webpage builds) may require additional planning time.

Requests for website updates, new pages, or content changes must be submitted through the Marketing Request Form.

To avoid delays, please include:

  • The URL of the page needing updates
  • Specific wording changes or new content
  • Images or documents to be uploaded
  • Any accessibility or compliance considerations

Marketing will review requests to ensure consistency with Kilgore College web standards, branding, and accessibility guidelines.

Departments wishing to promote events, programs, or announcements on official Kilgore College social media channels should submit requests in advance.

Please provide:

  • Event details and dates
  • Suggested messaging or captions
  • Photos or approved graphics
  • Registration or information links

Marketing will determine the appropriate posting schedule and platform placement.

Requests for event photography, video coverage, or promotional photo shoots must be submitted through the Marketing Request Form.

Approval is based on:

  • Institutional priorities
  • Photographer availability
  • Strategic marketing value

Departments are encouraged to submit requests as early as possible to secure coverage.

The Marketing & Communications Office coordinates all official media communications on behalf of Kilgore College.

If your department has:

  • A major announcement
  • Student or program achievement
  • Grant award or partnership
  • Community event of broad interest

Please submit a request with background information, quotes (if available), and deadlines.

Marketing will draft, edit, and distribute releases in alignment with institutional messaging.

All new logo or brand identity development must be approved and coordinated through Marketing to ensure compliance with Kilgore College branding standards.

Departments should not create independent logos or marks without prior approval.

Marketing projects are prioritized based on:

  • Institutional strategic goals
  • Enrollment and student success initiatives
  • Event timelines and deadlines
  • Available staff resources

Submission of a request does not guarantee immediate turnaround.
